Collaborators and roles
Beyond visibility, you can invite specific people to a timeline and choose exactly what they're allowed to do there. This article covers the roles, inviting and accepting, and removing someone.
Collaborators are a paid feature: inviting someone needs the Pro plan for your own timelines, or the Team plan for a team's. On Free, the Collaborators tab and the Share dialog's Collaborators panel say so instead of offering an invitation form, and a share link is how you show a timeline to someone instead.
The roles
| Role | View the timeline | Add and edit items, periods and events | Invite or remove collaborators, change visibility, delete the timeline |
|---|---|---|---|
| Viewer | Yes | No | No |
| Editor | Yes | Yes | No |
Only the timeline's owner holds that last column, along with transferring the timeline to someone else — see transferring a timeline. The owner isn't a role you assign; it's whoever created the timeline or received it in a transfer. Both roles can take part in the timeline's comments; an editor can also mark a thread as resolved.
An editor's access can depend on the payer's plan: inviting one counts against the plan's editor limit, and if the payer's plan has since lapsed or no longer has room for every editor, an existing editor is shown as view-only until that's fixed. See teams and the Team plan and billing for how plans and team roles work.
If the plan that pays for a timeline ends up on Free, the people already on it keep their access and you can still remove them; you just can't invite anyone new until you're back on a paid plan. An invitation that was already sent can still be accepted until it expires.
Inviting someone
From a timeline's Collaborators tab — or the Collaborators panel of the Share dialog in the viewer, which shows the same roster — the owner types an email address, picks Viewer or Editor, and sends the invitation. There's no way to add someone directly by searching for them — every grant of access goes through an emailed invitation, even for a team member.
The person gets an email with a link; while it's outstanding it shows as pending, with its expiry date, and the owner can withdraw it before it's accepted. Every other collaborator can see the same roster, just without the controls to change it.
Accepting an invite
There are two ways in: clicking the link in the invitation email accepts it right away and takes you straight to the timeline, or you can open Timelines > Invitations in the dashboard, which lists every pending invitation addressed to you with Accept and Decline buttons. Declining removes the invitation outright.
Removing a collaborator
The owner removes someone from the Collaborators tab; they lose access immediately, though they can always be invited back. A collaborator can also leave a timeline on their own from the same tab — after leaving, they lose access too, unless the timeline is public.
For who can see this tab at all, and how visibility interacts with it, see sharing and visibility.
